Dental clinic inventory tracking
Expiry, lot and critical level — nothing slips past you.
Consumables, medicine and medical-device inventory. Lot-based tracking with FEFO, İTS/ÜTS notification infrastructure, inter-warehouse requests/transfers, min-max levels, near-expiry and critical stock, and counts.
What problem does it solve?
The dentist asks for composite, the assistant goes to the cupboard and finds the last box is gone. On another shelf sit two boxes of anesthetic that have already expired, and nobody remembers when they were bought. Orders go out when someone says stock “looks low,” counts happen once a year, and the spreadsheet never matches the shelf. In a clinic with several branches, one stockroom has too much of an item that another has run out of. Treatment stalls on one side, and money goes in the bin with expired supplies on the other.
How it works
- 1Set up your itemsAdd consumables, medicines and medical devices to the inventory, and set a minimum and maximum stock level for each item.
- 2Receive by lot and expiryIncoming stock is recorded with its lot number and expiry date, and tracked lot by lot.
- 3Use what expires firstFollowing FEFO, the lot with the nearest expiry date comes first. Items close to expiry or down to a critical level show up on their own lists.
- 4Balance between stockroomsWhen one stockroom runs low, request the item from another and cover it with a transfer.
- 5Count and compareRun a stock count to compare what the system says with what's on the shelf, and see where they differ.
Key capabilities
- Consumables, medicines and medical devices are tracked in one inventory.
- Lot-based tracking with FEFO puts the lot that expires first at the front of the line.
- Items nearing expiry are gathered on a separate list.
- Min–max levels are set per item, and critical stock has its own list.
- Stockrooms can request and transfer items between each other.
- Stock counts reveal the gap between the system and the shelf.
- Notification infrastructure is in place for Turkey's İTS (medicines) and ÜTS (medical devices) tracking systems.
- Stock is covered in the ready-made, savable reports.
Frequently asked questions
What is FEFO, and why does it matter in a dental clinic?
FEFO (first expired, first out) means using the item with the nearest expiry date first. It cuts waste on materials with a shelf life, such as anesthetics and composites, and because Oravity tracks stock by lot, it shows which lot should be used first.
How do I keep track of supplies that are about to expire?
Oravity gathers items nearing expiry on a separate list, and items that drop below their critical level are listed too. That way you can see the problem before something expires or runs out.
What's the difference between tracking stock in Excel and in dedicated software?
In Excel you have to build columns and formulas for lots, expiry dates and minimum levels, then filter the lists yourself. In Oravity each item is recorded with its lot and expiry, and anything at a critical level or close to expiry appears on its own list automatically.
Can I keep stock in more than one stockroom?
Yes. Stock is tracked per stockroom, and when one runs low you can request the item from another and cover it with a transfer. In multi-branch setups, that's how you even out surpluses and shortages.
Is the inventory module included in the plans?
Yes. Inventory is one of the core modules included in every Oravity plan, so there's no add-on to buy.
